Roles and Responsibilities
The Executive Officer will play a vital role in supporting the administrative and operational functions of the School of Music (SOM), with a strong focus on orchestral and ensemble management. You will work closely with faculty, students, and external stakeholders to provide logistical and scheduling support for the Chinese Orchestra and various chamber ensembles. This includes coordinating rehearsal needs, managing performance logistics, distributing scores and rehearsal schedules, liaising with guest artists, and overseeing event preparations such as programme notes, translations, and concert-related logistics.
In addition to performance-related duties, you will provide administrative support for Chinese Instrumental Studies, including tracking student attendance, scheduling performance classes and mock exams, preparing assessment documentation, and managing honorarium and adjunct staff payments. You will be expected to ensure timely and accurate communication of all schedules and maintain proper records aligned with academic requirements.
The role also supports key institutional events such as the Nanyang International Music Competition (NIMC) and the annual CCOM Graded Examinations. You will be involved in registration, scheduling, exam administration, and liaising with IT and other departments to ensure smooth execution and adherence to timelines.
Beyond these core responsibilities, you will oversee student assistant time tracking and contribute to the general administrative needs of the School. This includes maintaining documentation and supporting ad-hoc duties as assigned by the Reporting Officer, ensuring the overall efficiency and quality of operations within the School of Music.
Requirements
- You should possess at least a Diploma qualification, preferably in Music, Arts Management, or a related field, with 1–2 years of relevant experience in arts administration or project coordination.
- Strong organisational and interpersonal skills, with the ability to manage multiple tasks independently and efficiently in a dynamic environment.
- Proficiency in written and spoken English is essential; knowledge of Chinese and familiarity with Chinese instrumental terminology will be an added advantage.
- A good working knowledge of Microsoft Office 365 and digital tools for scheduling, communication, and documentation is required.
- You should be proactive, adaptable, and meticulous, with a keen eye for detail and a collaborative approach to working with various stakeholders.
