Assistant Executive Officer, Alumni Relations Office (6 months contract)

Roles and Responsibilities

  • Provide administrative support to Head and employees, and manage general administrative duties such as scheduling and setting up for meetings, processing payments, preparing reports or data documentation and inventory control
  • Serve as project coordinator for smooth execution of events and projects; tasks including but not limited to administrative, finance, marketing, manpower and logistics arrangement
  • Update database; conduct data research and analysis through survey, online tracking, social media, phone calls and other means
  • Maintain a list of promotional and discount packages; keep track of contractual period, analyse product/service popularity, source and negotiate with new working partners
  • Handle enquiries; attend to walk-ins, emails and phone calls
  • Perform other ad-hoc duties as required


  • Minimum Diploma in any discipline with at least 2 years of relevant working experience, preferably in the arts, education or service industry
  • Team player and one who possesses good organisational and interpersonal skills
  • Meticulous and with good administrative skills
  • Able to demonstrate confidentiality at work
  • Good time management
  • Able to work on evenings and weekends when required
  • Proficient in Microsoft Office applications and Internet
